Use eAU

Learn how to use the electronic certificate of incapacity for work (eAU) to meet your needs. To set up the eAU feature, start by reading this article.



Once the eAU feature is activated in Kenjo, an eAU will automatically be retrieved from the statutory health insurance when an employee submits a time off request due to sickness in Kenjo. The eAU is then stored in Kenjo. If the eAU status changes, a notification will be sent. This means: you don’t need to do anything! The entire eAU process is automated.




Process of Retrieving an eAU


Example: A statutory health-insured employee submits a sick leave request in Kenjo under the sick leave policy for 4 days.





View the eAU Status


  • Navigate to Time Off > Requests.
  • Click on a request to view the eAU certificate status in the detailed view.
  • Click Check Status to learn more about the eAU status. Note that it may take 3–4 days for the certificate to appear. During this time the certificate's status will be pending




FAQ


1. Where can I see the eAU status?


You can find all time off requests under Time Off > Requests. Click on a request to view the status of the eAU certificate in the detailed view. Depending on the settings under Payroll > DATEV Settings for attaching documents during sick leave, the eAU certificate will be retrieved on the first, third, or another agreed-upon sick day. Click Check Status to get more information. Keep in mind it may take 3–4 days for the certificate to appear.


2. Do I need to approve sick leave with an eAU?


It is best to confirm the sick leave only once the corresponding eAU certificate is displayed.


3. How will I be notified about an eAU retrieval?


Notifications will be sent to the email address specified under Payroll > DATEV Settings in the following cases:


  • New eAU requests
  • Changes to an eAU status


4. Is uploading a document for sick leave no longer necessary?


For employees who are issued an eAU certificate, no document attachment is required. However, the option to upload a document for time off remains available. If your company has other agreements in place, employees can still upload documents for time off.

5. The eAU status says Pending. What does this mean?


This means the certificate is still being created. You will be notified of any status changes.


6. The eAU status says Certificate Missing. What does this mean?

7. The eAU status says Not Requested. What does this mean?


There are several possible causes:


1) The eAU could not be retrieved because the employee’s PNR number is missing. This number is essential for linking the employee in DATEV. To manually update the PNR, go to Employee Profile > Personal Profile and scroll down to DATEV-specific payroll data.


2) The employee has private health insurance, so no eAU can be retrieved. The employee must continue to submit the sick leave document in paper form or upload a photo of the document in Kenjo.


3) Due to an internal error, the eAU cannot be retrieved. Click Check Status to see if the error has been resolved and the certificate retrieved. Once the status changes, the registered email address will automatically be notified.


4) The statutory health insurance is no longer responsible for the employee. It’s possible that the employee changed their insurance during a longer illness. Contact the employee or the health insurance provider.



8. The eAU status says Confirmed with an Error. What does this mean?


Due to an error, the eAU certificate could not be retrieved. Click Show Error Message to view error details under "error_text." Try retrieving the status again by clicking Check Status. If the error persists, contact your payroll department.
