Import Employee data

One of the most important steps to start using Kenjo is to import your employee data. The employee data will be reflected in the Employee Profiles, with different sections and fields that will help you automate your HR processes.



  1   UPLOAD


You find the import employee function via two different ways:


  • Go to Settings > Data import in the horizontal menu
  • Choose the type of import you would like to make. In this case, it will be Employees




OR 







  2   UPLOAD


1. Select the import method: Here you have two options:




 1  Insert


Use this option to add new employees to your organization


Make sure that the e-mail address the new employee wants to use has never been assigned to anyone in your organization before. 



 2  Update


Use this option when some data of existing employees has changed and you want to update it


Make sure that the e-mail address of all existing employees maps the one in Kenjo. Never change the e-mail address manually in the Excel sheet as this is the unique identifier for the mapping process. Without an email address no mapping is possible.


  • 2. Choose the language of the header columns



  • 3. Download the template
  • Fill in the template with the needed data
  • Fill out the Excel with the instructions from the video in this article 


OR 


  • Choose a file from your computer by drag-and-drop or by clicking on the hyperlink.




Make sure your uploaded file is an CSV or XML Excel file.


  • Click UPLOAD




 3   MAP


In the next step, you need to map columns from the excel sheet to fields in Kenjo. This step is the same for import or update choice. 




1The work email address is the key identifier. This is a mandatory and the most important field
2The green check mark indicates that the respective field has successfully been mapped
3The black  X  indicates that this column hasn't been mapped. Now click on  4  
4You can click this icon to open the drop-down menu. You find a list of all possible fields. 
  • Its not possible to select a greyed out field
  • Find the correct field and click on it
  • The column's  X  should have now turned into a green check mark 
5Click x to delete the Kenjo field that has been mapped by default
  • Find the correct field via drop-down-menu and select it
6Check this box to exclude unmapped columns


  • Click Confirm.
  • Finally, choose the import name and click on FINALIZE IMPORT

Note: You can always create Employee Profiles manually. Find instructions on how to manually create your employees in Kenjo in the article Create a new employee profile.




Error report


When the import is completed, you will receive an email from Kenjo.





The link in the email takes you directly to PAST IMPORTS, where all of your imports will appear. In case you have made an error while filling out the template, Kenjo will notice this and let you know. 






The overview includes an Errors column. If the template was filled in correctly, the column will state No errors. If there is something missing in the template or a field has been filled out incorrectly, you can click on the link to download the Error report.





The error report tells you exactly what kind of mistake you made and where, so you can go back into the template and fix the mistakes.
