Hey HR heroes! We know that manually managing employee break times can sometimes be a real challenge. But don’t worry, we’ve got just the thing for you! Our new "Automatic Break Deductions" feature takes this task off your hands and ensures that break times are directly deducted from working hours. Sounds great, right? ?
Why This Feature?
You wanted it, we made it! Many of you requested a solution that automatically deducts break times from working hours to keep everything neat and compliant with the law. While this feature may have some legal gray areas, we're offering it with the advice that you use it according to your employment contracts.
How to Configure Automatic Break Deductions
Let’s get started! Here’s your step-by-step guide:
Navigate to Settings:
- Open Kenjo and click on Attendance > Settings > Policy > Policy Selection.
Configure Break Rules:
- Under Policy > Rules > Break Rules, you'll find the option for automatic break deductions. Here, you can choose how breaks should be handled.
- Click on Option 3: Deduct breaks automatically. You will see a small BETA tag – this indicates that this feature is an initial iteration, and we would love your feedback to help develop it further.
Set Required Break Time:
- In the Break Requirements section, you can specify the required break duration. Super easy, right?
What Happens Next?
Once you’ve activated the automatic break feature, here’s what happens:
- Every time an employee logs their working hours (whether via the desktop version, mobile app, home widget, or time clock terminal), our system automatically checks if the break rule needs to be applied.
- If the working time exceeds the set duration (e.g., more than 6 hours), the required break time will be automatically deducted.
Please note: Since the feature is currently in BETA, the automatic break deduction can only be applied to single time entries and not across the whole day. Here’s an example.
- Example 1: Time entry from 8:00 to 15:00 (7 hours) – more than 6 hours worked, so a 30-minute break is deducted.
- Example 2: Two separate time entries (8:00-10:00 and 10:00-15:00) – although the total working time exceeds 6 hours, no break is deducted because neither entry exceeds the break threshold.
This means, for the automatic break deduction to work properly, your employees should clock in at the start of their shift and clock out at the end, rather than making multiple time entries throughout the day.
You can also choose whether to continue showing break reminders to your employees before the automatic break is deducted. However, be aware that the break reminder works with the entire day, not individual entries. So, we recommend choosing one option while the automatic break feature is in BETA.
What Will You See in the System?
Desktop Version:
- When a break is automatically deducted, you’ll see a note in the attendance log.
- A tooltip will appear when you hover over the entry: “This break was automatically created according to your company’s policies. 6+ hours of work require at least a 30-minute break.”
Mobile Version:
- It also shows that a break was automatically deducted.
- A popup appears with the text: “This break was automatically created according to your company’s policies. 6+ hours of work require at least a 30-minute break.”
Kiosk:
- It shows that a break was automatically deducted.
- A popup appears with the text: “This break was automatically created according to your company’s policies. 6+ hours of work require at least a 30-minute break.”
Note: Automatic breaks, like break reminders, do not apply to admin accounts.
With the new automatic break deductions feature, you can make your life easier and ensure that all break times are accurately recorded. Try it out and experience how simple and efficient break management can be!
